Preventative electrical maintenance helps facility teams catch warning signs before they turn into downtime, equipment damage, safety concerns, or emergency service calls.
It does not guarantee that every outage or failure can be prevented. Electrical systems still age, loads change, equipment fails, and unexpected issues happen. But a practical maintenance checklist gives maintenance managers, facility managers, and production leaders better visibility into the condition of their electrical system, enabling them to plan rather than react.
For industrial facilities, production environments, commercial buildings, long-term care homes, and other uptime-sensitive operations, the goal is simple: reduce electrical surprises.
A good checklist should help your team spot visible issues, document recurring problems, know when to involve a licensed electrical contractor, and plan inspections or repairs before they interrupt operations. In Ontario, electrical work for hire must be completed by electrical contractors licensed by the Electrical Safety Authority, so this checklist is meant for observation, planning, and coordination — not do-it-yourself electrical work.
What a preventative electrical maintenance checklist should do
A useful electrical maintenance checklist should help your team answer four practical questions:
- What can our team safely observe?
- What needs to be inspected or tested by a qualified electrician?
- What should be documented for future planning?
- What issues require immediate service?
There’s a clear line between what your team can do, and what must be left for an electrician. You may be able to observe signs such as water near electrical equipment, repeated breaker trips, unusual odours, flickering lights, etc. But that’s only part of preventative maintenance. The rest include testing breakers, inspecting live components, infrared scanning, power quality monitoring, and more. That must be handled by qualified electricians.

Preventive electrical maintenance checklist
Use this checklist as a starting point for your facility. The right frequency and scope should be adjusted based on your building, equipment, production schedule, load profile, operating risk, and contractor recommendations.
1. Electrical rooms and equipment access
Electrical rooms often reveal how seriously a facility treats electrical maintenance.
Check for:
- Clear access to panels, switchgear, transformers, disconnects, and electrical equipment
- Stored materials blocking electrical equipment
- Water, moisture, leaks, corrosion, or staining
- Excessive dust, debris, or poor housekeeping
- Unusual heat, odours, or noise
- Damaged, missing, or outdated labels
- Adequate lighting for service access
- Doors, locks, and access controls working properly
Avoid using electrical rooms for general storage. It makes inspection harder, slows down emergency response, and can create unnecessary risk when service work is needed.
2. Panels, switchgear, disconnects, and distribution equipment
Your facility team should not remove covers or inspect energized components unless they are qualified to do so. But they can still watch for external warning signs.
Look for:
- Breakers that trip repeatedly
- Buzzing, humming, or crackling sounds
- Burning smells or discolouration
- Heat around panels or equipment
- Corrosion or water marks
- Missing panel directories
- Unlabelled or poorly labelled circuits
- Damaged covers, loose hardware, or signs of impact
- Equipment that has not been inspected in years
Planned contractor inspections can include deeper review, infrared scanning, breaker testing and exercising, torque checks where appropriate, and recommendations for repair or replacement.
3. Production equipment, motors, and phase/power issues
For industrial facilities, electrical issues often first show up as production issues.
Watch for:
- Motors running hotter than normal
- Equipment that trips during startup
- Drives, controls, or PLCs resetting unexpectedly
- Machines behaving inconsistently
- Unexplained shutdowns or nuisance faults
- New issues after equipment moves, service work, or utility interruptions
- Signs of phase loss, phase imbalance, or phase sequence concerns
- Operators reporting electrical “glitches” without a clear cause
We recently had an example of this when a local production facility’s distribution had a phase-sequence issue. When issues are intermittent, power quality data logging can help identify what is actually happening instead of relying on guesswork.
4. Lighting and emergency lighting
Lighting problems are easy to ignore until they affect safety, access, production, or tenant experience.
Check:
- Failed lamps or fixtures in production areas
- Poor lighting in electrical rooms, mechanical areas, stairwells, and exterior paths
- Flickering lights or recurring failures
- Exit signs and emergency lighting units
- Lighting controls, timers, sensors, and contactors
- Parking lot and exterior security lighting
- Areas where lighting complaints repeat
Emergency lighting should be part of a regular maintenance routine, especially in facilities where staff, residents, visitors, or contractors may need to exit safely during a power interruption.
5. Backup power and generators
For facilities that rely on backup power, generators should not be treated as “set it and forget it” equipment.
Review:
- Generator alarms or fault history
- Scheduled exercise/testing records
- Fuel condition and fuel levels
- Battery condition
- Transfer switch operation
- Critical loads connected to backup power
- Maintenance records from previous service
- Any recent changes to building load or critical equipment
This is especially important for long-term care homes, healthcare environments, production facilities, food processing, cold storage, and other operations where power loss can create safety, operational, or financial consequences.
6. Infrared scanning and power quality monitoring
Some electrical issues are not visible during a normal walkthrough.
Infrared scanning can help identify abnormal heat patterns in electrical equipment under load. Power quality monitoring or data logging can help investigate voltage sags, swells, imbalance, harmonics, nuisance trips, flickering lights, and unexplained equipment resets.
Consider these services when:
- You have recurring electrical issues without a clear cause
- Equipment is aging
- Production downtime is expensive
- You are planning a shutdown
- You are adding major equipment
- Breakers or panels have not been reviewed in years
- You need better information for budgeting or capital planning
The value is not just finding a problem. It is knowing what to fix first, what can be planned later, and what should be monitored.
7. Documentation and maintenance records
Preventative maintenance gets much more useful when it is documented.
Keep records of:
- Panel directories and updates
- One-line diagrams, where available
- Equipment lists and critical loads
- Breaker trip history
- Generator test records
- Infrared scan reports
- Power quality reports
- Electrical service calls
- Recommended repairs
- Completed repairs
- Deferred work and budget items
Documentation helps your team notice patterns. It also makes future service calls faster because the electrician is not starting from zero every time.
Suggested maintenance frequency
There is no universal schedule that fits every facility, but this is a practical starting point:
Weekly or monthly:
Have internal staff watch for visible issues: blocked electrical rooms, failed lighting, unusual smells, recurring trips, generator alarms, damaged labels, or operator complaints.
Quarterly or semi-annually:
Review electrical issue logs, production interruptions, generator records, emergency lighting concerns, and recurring equipment faults. Use this review to decide whether contractor inspection or testing is needed.
Annually:
Consider a planned electrical maintenance visit for critical equipment, panels, distribution, infrared scanning, backup power review, and maintenance planning.
After changes or incidents:
Schedule a review after major equipment additions, production changes, utility issues, renovations, repeated breaker trips, water events, or unexplained equipment failures.
The higher the cost of downtime, the more important it is to move from informal checks to a structured maintenance plan.
When to call an electrical contractor
Call a licensed electrical contractor when you notice:
- Burning smells, heat, smoke, or discolouration
- Repeated breaker trips
- Water near electrical equipment
- Buzzing, arcing, or crackling sounds
- Phase loss, phase sequence, or power quality concerns
- Generator or transfer switch faults
- Electrical issues affecting production equipment
- Emergency lighting failures
- Damaged panels, disconnects, or electrical equipment
- Any issue your team cannot safely assess
Do not repeatedly reset breakers or ignore recurring electrical faults. Those patterns usually mean something needs to be investigated.
